What Personal Data Do We Collect?

Throughout the recruitment and hiring processes, we gather the information necessary to match you with available opportunities and assess your eligibility at various recruitment stages. This information includes, but is not limited to, phone numbers, email addresses, home addresses, CVs, identification documents, educational records, work history, employment references, and other relevant data.

In certain cases, we may also collect sensitive personal data, such as your eligibility to work in the UK and health-related information. The collection and further processing of sensitive personal data only occur with your explicit consent.

Sources of Personal Data

We acquire personal data about you from various sources, including:

  • Directly from You: This pertains to the information you provide while seeking new opportunities and during different stages of the recruitment process.
  • Through Agents or Third Parties: We may obtain data from individuals or entities acting on your behalf, such as Associates, Limited Companies, or Recruitment Agencies.
  • Publicly Available Sources: We utilize publicly accessible platforms, like LinkedIn, Job Boards, and the World Wide Web, to gather relevant information.
  • Via Recommendations or Word of Mouth: For instance, you may be referred by a friend, former employer, colleague, or current employer.

When we collect your data from publicly accessible sources, we may enlist external recruitment agencies to assist. These agencies are given specific criteria related to job requirements and are responsible for sourcing potential candidates from publicly accessible platforms. They are instructed to provide information only about candidates who meet these criteria. The parameters set for these agencies are designed to limit data collection to sources where it is reasonable to expect such information may be gathered. After your details are collected, they are stored in our central Applicant Tracking System (ATS), Recruitee, Microsoft Outlook, and our internal Test Portal.

Use of Your Personal Data

We utilize your personal data to assess your skills, experience, and qualifications in relation to potential job roles or vacancies. Initially, we collect basic details such as contact information, job role, and experience. Subsequently, this information is shared with hiring managers responsible for recruiting personnel. If you are shortlisted for further consideration, we will continue to gather additional information as required.

Data Retention Period

To adhere to our re-application policy, which spans 12 months, we retain your data for a minimum of 365 days. This policy applies to both candidate and placed candidate information.

Sharing of Your Personal Data

Your personal data is shared with hiring managers who are actively searching for personnel to determine if you are a suitable match for available positions.

What legal basis do we have for using your information?

For prospective candidates, contractors, and referees, our processing is necessary for our legitimate interests in that we need the information in order to be able to assess suitability for potential roles, to find potential candidates and to contact referees. If you are interviewed and submitted as a candidate, then this may involve the processing of more detailed personal data including sensitive data that you or others provide about you. We may also rely on our processing being necessary to perform a contract for you, for example in contacting you.

What happens if you do not provide us with the information we request or ask that we stop processing your information?

If you do not provide the personal data necessary, or withdraw your consent for the processing of your personal data, we may not be able to match you with available job opportunities.
